What Are The Advantages?
The full text search option provides the user with two different methods for searching free form documents. These methods include various forms of "fuzzy logic", that give you the ability to find documents even when you are not entirely certain of the exact keywords.
Logical Search
The Assisted query method gives you powerful ways to locate documents based on specific words, word location, world location relative to other words, words that have the similar meanings (thesarus matching), and root word expansions, such as verb tenses, and all of the different ways a particular word can end.
- Type the text you want to find into the box. You can type either a single word or a phrase. Note that phrases do not need to be separated by AND or enclosed in quotes.
- Click OK to find just this word or phrase in your index.
You can create a more complex query (e.g., credit check OR credit history) by using
conditional operators (AND, OR, NOT, etc). The available operators are explained below.
- Type your first word or phrase.
- Click the appropriate button for the operator required.
- Type your next search word or phrase.
- When you have built your search, press [Enter] on your keyboard or click OK.
The conditional operators are as follows:
AND which ALSO contain…
The documents retrieved must contain both of the words/phrases you have typed. The words can appear anywhere in the document.
OR which contain…
The document must contain at least one of the entered words or phrases; there is no
requirement for both to be present, however.
BUT do NOT contain…
The retrieved documents must contain the first word or phrase and must not contain the second.
Within a PARAGRAPH of…
The retrieved documents must contain both words or phrases within a paragraph either side of each other. That is, the first word or phrase could be in one paragraph, and the second word/phrase could be in the following or preceding paragraph.
In the same PARAGRAPH as…
The retrieved documents must contain both words or phrases in the same paragraph as each other.
Within 10 WORDS of…
The retrieved documents must contain both (or all) words or phrases within 10 words of each other. These 10 words must be in the same paragraph.
Followed anywhere by…
The retrieved documents must contain both words or phrases, and the second word or phrase must follow the appearance of the first. The second word or phrase can be anywhere in the document as long as it is after the first.
IN the paragraph LABELLED …
The retrieved documents must contain the first word or phrase in a paragraph beginning with the second word or phrase.
Natural Language Search
The Natural Language query gives you the ability to find documents based upon English questions. To use this feature, simply type your question into the console and click on the Search button.
- Type your query such as "How do I do a credit check?"
- Click Search
- OptiDoc runs your search and displays the results in the Results list.
Note that Natural Language Query cannot guarantee to find the exact document you want, however it should return correct results for most of your queries. If it does not retrieve what you want the first time, try re-phrasing the question, or using another search method.
